Step 4: Create a Weezcrew Registration Form 

A well-designed registration form is essential for recruiting volunteers who match your specific needs. The goal is to gather the necessary information without overwhelming candidates with unnecessary questions.

1 . Custom Fields


In the Custom fields module, you can design a tailored registration questionnaire. Default fields are already set up on the platform, but you can add new ones to customise the form based on your needs.

You'll need to provide the following information:

  • Field name (name, question, etc.)
  • Subtitle (to add extra details)
  • Content type (text, checkbox, dropdown list, etc.)

Tip: You can also create "private" fields, visible only to administrators (e.g., type of accommodation, meals to plan...).

2. Design a Registration Form That Reflects Your Event


From your event dashboard, go to the Form module and click Create form. Name it so you can easily identify it later.

Add Fields

Select the fields you want to include by checking them in the dropdown list. You can rearrange them using the cursor. To create a custom field, click the downward arrow to the left of the Add fields button.

You can also create sections or text blocks to structure your form clearly.

Form Settings

Once your fields are added, customise the form using the available tabs:

  • General: Briefly describe your event to encourage volunteers to sign up.

  • Design: Customise the look of your form by uploading a banner and selecting background, text, and button colors to match your event's branding.

  • Availability: Customise how volunteer availabilities are displayed—by day, time slots, or schedules, depending on your needs.

  • Missions: Based on volunteer availability, display categories, missions, or time slots so they can choose according to their preferences and skills.

Tip :You can hide certain categories or missions if needed.
Missions that reach full capacity can also be hidden from view.

  • Accreditations  : Choose whether or not to display accreditation options.

  • Sharing: Customise access to your form—make it public or restrict it to specific people.

  • Closure: Set if and when the form should be closed to new submissions.


Note:

  • Make sure your banner image is the correct size and high quality. A pixelated image can negatively affect your presentation.
    Apple products require higher resolution than a PC (2340x720px).

  • Hexadecimal colors are the visual language of the web. When you want a webpage to display a certain color, use its hex code—a 6-digit number preceded by a hashtag: #_ _ _ _ _ _ 

3. Form Integration


You can embed your form directly into your website or integrate it seamlessly using HTML code.

To test your settings before going live, use the Preview function. This allows you to review and adjust elements before launching your campaign.

 

You are now ready to launch your volunteer recruitment campaign across all your communication channels. Once the registration phase is complete, you will be able to sort profiles based on participants’ preferences and availability by referring to this article.
