Setting Up A Check-In List

Is your event approaching? It’s time to focus on preparing for participant check-in and ticket control.
We offer various ways to manage access so our solutions can adapt to your needs.

A check-in list is a group of participants to whom you assign access rights based on specific scan zones (e.g., general admission, press entrance, VIP access).

A check-in list can:

  • Include participants from one or multiple events or sessions
  • Correspond to a physical location (Entrance A, Entrance B, VIP area)

Correspond to a time period (3-day pass, Friday, Saturday)

By default, a check-in list is automatically created for each of your events or sessions.
These default lists are available in your WeezAccess control app without requiring any additional setup.

1. Managing Check-In Lists

1.1 Creating a Check-In List

  • Log in to your Weezevent management interface.
  • Click the Applications icon at the top right of the screen, then go to the WeezAccess section
  • Click on Check-In Lists > New Check-In List in the top left corner.
  • Choose a name for your list (e.g., Check-In - Day 1, Check-In - Day 2, Wristband Pickup, etc.).
  • Optionally, change the color of the list to help you identify it more easily.
  • Set the number of default access rights participants added to this list will have.

Under “Check-In List Criteria”:

  • Select the relevant event.
  • Choose All participants or filter by ticket type.
  • You can add additional rules if your list should include participants from other events, for example.

Click Save in the top left corner.

Your check-in list will now appear in the Check-In Lists section and will also be available in the WeezAccess app!

1.2 Editing a Check-In List

In the Check-In Lists section, click the list you want to modify, or use the Actions column to select it.
The access rights for participants will be updated, and control devices using the WeezAccess app will automatically be updated—if connected to the internet.

1.4 Activating / Deactivating / Deleting a List

Activation / Deactivation:
Check-in lists can be deactivated or reactivated so that they appear—or not—in the WeezAccess control app.

Deletion:
You can delete check-in lists.

 Important: Deleting a list will also delete all access rights associated with the participants on that list, as well as the control data history linked to it.

1.5 Archiving Check-In Lists

Check-in lists for an event are automatically archived when:

  • You close the event
  • The event has ended for more than 24 hours
  • The event’s session started more than 48 hours ago

You can view your archived lists by clicking on the Status button and selecting Archived Lists. To reactivate an archived list, click its status again to update it.
