Configuring Custom Layouts in the Team Portal

In this article, we will show you how to create a custom layout with tabs for your team portal

 

The Team Portal is a dedicated hub where team managers add their teamates for the accreditation process. With our latest update, event organizers can now create dynamic, customized layouts tailored to the unique business rules of different teams.

Instead of a one-size-fits-all portal, you can design specific views at the event level, choosing exactly which tabs, data columns, and tools each team can see and interact with.

Key Benefits of Custom Layouts

  • Tailored Experiences: Create distinct portals for different teams (e.g., a "Catering" layout vs. a general "Staff" layout).
  • Event-Level Customization: Design unique portal layouts for individual events.
  • Data Control: Choose precisely which documents, member list columns, and scheduling matrices are visible to team managers.

Step 1: Create a New Layout

To begin building a custom view for your teams:

  1. Navigate to the Communication tab in the main menu.
  2. Select the Team Area sub-menu.
  3. Click on the Layouts tab.
  4. Click Create New Layout (or the + icon).
  5. Give your layout a descriptive name (e.g., Team Portal V1 or Catering Layout).

Step 2: Add and Customize Portal Tabs

Once your layout is created, you can build it out by adding specific tabs and configuring what information displays inside them.

Add a Home Dashboard & Documents

  1. Add a new tab and select the Dashboard view type.
  2. Rename the tab if desired (e.g., Home).
  3. Within this dashboard, use the document feature to select and expose specific event files or guides that this team needs to access.

Add a Customized Member List

  1. Add a new tab and select the List View type.
  2. Rename the tab (e.g., Members).
  3. Click Edit Column to choose exactly what data fields are visible to the team manager (e.g., Name, Accreditation Status, etc.).

Add an Accreditation & Catering Matrix

  1. Add a new tab and select the Accreditation Matrix view type.
  2. Rename the tab (e.g., Catering).
  3. Configure the matrix display rules:
    • Choose how to organize the data (e.g., Group by Dates).
    • Select which specific catering options or meal slots should display.

Add an Access Calendar

  1. Add a new tab and select the Calendar view type.
  2. Rename the tab (e.g., Access Sum Up or Access View).
  3. Configure the calendar to display team access times, shift schedules, or accreditation windows visually.

Tip: You can create multiple layouts for a single event. A manager logging in for the "Catering Team" will only see the catering-specific layout, while a "Security Team" manager will see an entirely different set of tabs based on your configuration.
